The incumbent will have a variation in job responsibilities, switching between two departments on a seasonal basis. This dual opportunity requires and develops a variety of skills while engaging in reservation activities during fall and winter then moving to tour director administration duties in spring and summer. The successful candidate will be responsible of FIT reservation requests for our client, requests for information on products, and assisting/supporting tour directors as they prepare to lead our escorted holidays.
Responsibilities:
TD ADMIN:
- Preparing files for Tour Directors and printing various documents and shipping to Tour Directors
- Arranging transportation logistics for tour directors to airports from start to finish of tours
- Helping Tour Directors produce expense accounts
- Perform various cash reconciliations between activity sales sold on buses by tour directors
- Inform accounting department of sales in order to pay suppliers
- Update commission register to pay tour-directors
- Update prices in pricing sales tool Square (Apple & Android)
- Participate in the preparation of requests for deposits and in the calculation of perdiem for tour directors
- Reserve plane tickets and prepare packages for tour directors
- Management of customer comments
RESERVATIONS:
- Process new reservations, cancellations, and amendments to existing reservations
- Create, recommend, and suggest itineraries
- Respond to queries regarding itinerary products and services from clients and suppliers
- Build relationships with key clients
- Maintain high level of Canadian and USA Tourism product and geographical knowledge of Canada and the USA
- Proof reservations to ensure the accuracy and smooth running of booked itineraries
- Assist in the completion of any projects, as assigned
Position Requirements:
- Post-Secondary School Education
- 2 to 3 years of Tourism experience
- Mastery of French language is a must
- Knowledge of a 2nd language (Spanish / Italian / German / Dutch, Portuguese, Japanese) is an asset.
- Ability to work under pressure and multitask
- Ability to work from the office
- Strong attention to detail and autonomy
- Dedicated to a high level of customer service
- Able to plan, organize and set priorities & manage processes
- Knowledge of Word and Excel
- Available to work extra hours as required
